Please note : By accepting a price quote or sending us a payment for our services, you are confirming your acceptance of the terms & conditions below. The terms "Explore", "us", "we" and "our" refer to Explore History Art Culture, a business registered in France and governed under French law.
Pricing & Payment
All of our services are customized and as such pricing is personalized to each client's individual needs and circumstances.
a. Private Tours
Pricing for private tours varies according to destination, length, and the nature of the tour or services provided. An initial price quote will be provided to the client at no charge; to book the service, the client will be required to pay in full at the moment of booking.
b. Private Seminars
Pricing for private seminars varies according to the content, structure and length of the seminar. Seminars are 60 or 90 minutes in length, and pricing starts at 125€ per seminar. An initial price quote will be provided to the client at no charge ; to book the seminar, the client will be required to pay in full at the moment of booking.
c. Custom Itineraries
Pricing for travel itineraries and trip planning varies according to the destination, nature of the services provided, and length of the trip. For custom itineraries, the fee will be determined according to the length and complexity of the trip, starting at 350€ per week of travel. Payment for a custom itinerary is due at the moment of booking/confirmation, and is non-refundable.
d. Trip Planning
For comprehensive trip planning, the fee will be determined according to the length and complexity of the trip, and will be included in the overall trip cost. After the preliminary intake discussion, an initial trip draft and price quote will be provided to the client at no charge, detailing a description of the services provided (hotels, tours, activities) and the estimated total overall cost of the trip. The client is at liberty to accept this trip draft or not. Once the client has accepted the trip draft, an initial payment of 250€ will be required in order to elaborate a detailed trip itinerary, encompassing the services of travel partners (hotels, tours, activities, chauffeur and travel services). Once the detailed trip itinerary has been validated, a deposit of 35% towards the total cost of the trip will be due, in order to confirm travel partner services and bookings. The full balance of the trip cost will be due 60 days before the travel departure date. All trip planning fees and services are included in the overall trip cost.
Initial discussion and trip draft : free of charge
Detailed Itinerary and trip plan : 250€ non-refundable deposit (to be deducted from final trip cost)
Trip Confirmation Deposit : 35% of final trip cost minus the 250€ already paid
Final Payment : outstanding balance due 60 days before travel date
The initial deposit of 250€ is non-refundable and will be deducted from the final trip cost. The Confirmation Deposit and Final Payment are subject to the cancellation penalties outlined below in the section on "Changes & Cancellations". Please note that the trip cost may fluctuate between the time of the initial trip draft and the final confirmation, due to fluctuating costs of third party services according to availability. Every effort will be made to adhere to the initial plan and cost as outlined in the initial trip draft.
e. Hotel Bookings
Isolated hotel bookings, when not included as part of a larger trip or itinerary, incur a service fee of 50€ per booking. When included as part of a comprehensive trip or itinerary, the booking fee will be included in the total cost of the trip, as all other planning fees and charges.
Changes & Cancellations
Changes and Cancellations may be made to some of our services in certain conditions, but may incur penalties depending on how soon we are notified. These penalties vary from one type of service to another, as follows :
a. Private Tours & Seminars
Payment for private tours and seminars is due at the moment of booking. These services may be canceled by clients under the following conditions :
Cancellation 60+ days before the travel date or activity : 75% refund
Cancellation 60 to 41 days before the travel date or activity : 50% refund
Cancellation 40 to 15 days before the travel date or activity : 20% refund
Cancellation less than 15 days before the travel date or activity : 0% refund
Seminars may be rescheduled, upon request, up to 48h in advance of the established activity date.
b. Custom Itineraries & Trip Planning
Trip Planning involves collaboration with many service partners in order to coordinate all of the aspects of an overseas trip (hotels, drivers, restaurants, tour companies, concierge services, etc.). Changes to the itinerary are possible but can be complicated to navigate, and may incur extra costs to third party providers. We will do our best to accommodate any special requests or changes to the itinerary once the final itinerary has been confirmed, but they cannot be guaranteed. The client is responsible for the payment of any outstanding charges resulting in changes they have requested.
Cancellations made by the client incur penalties, depending on how much in advance we are notified. For this reason we strongly encourage you to purchase travel insurance for your trip. Cancellation penalties are as follows :
Cancellation 90+ days before the travel date or activity : 65% refund (non-refundable initial deposit - 35%)
Cancellation 90 to 61 days before the travel date or activity : 50% refund
Cancellation 61 to 40 days before the travel date or activity : 25% refund
Cancellation less than 40 days before the travel date or activity : 0% refund
c. Hotel Bookings and Third Party Providers
Cancellations for hotel bookings and other third party services (tours, visits, chauffeurs, etc.) are subject to the conditions and cancellation policy established by each individual property or service. These conditions will be clearly communicated to the client both before booking and at the moment of the booking confirmation. Explore cannot be held responsible for any losses the client may incur due to cancellations with our hotel or service partners.
It may sometimes be necessary to make changes to the itinerary after it has been confirmed and paid, due to unforeseeable circumstances such as extreme weather, or changes made by third party providers such as hotel cancellations or schedule changes. We will do our best to provide solutions to ensure the smooth flow of the trip. Any costs involved in these changes will be at the expense of the client.
Changes or Cancellations by Explore
Explore reserves the right to change or cancel your trip or tour in extreme circumstances, in the event that the safety or quality of the service is compromised, in our sole opinion. In this case, we will either provide the client with an alternative service, or issue the client a full refund. In the event that a refund is issued, Explore cannot be held responsible for losses incurred with third parties, such as airlines or hotels.
Pricing is issued to the client in euros or dollars, according to client preference, and may fluctuate in keeping with currency exchange rates. Price quotes can only be guaranteed at the time they are issued, due to the fluctuations in currency exchange rates. Payments will be accepted by bank wire transfer or by Visa, Mastercard and American Express credit cards. If full payment is not received at the time of invoicing, Explore reserves the right to cancel the reservation and assume that the trip has been cancelled by the client, in which case cancellation penalties will apply, as outlined in "Changes & Cancellations".
We strongly recommend that all clients purchase comprehensive Travel Insurance prior to the date of travel. Some credit cards do offer coverage, but these plans are generally not as comprehensive or all-encompassing as dedicated travel insurance policies. Your travel insurance should cover cancellation and curtailment, all medical expenses including evacuation/repatriation, baggage, personal liability, death and permanent disability and travel document insurance. Explore cannot be held responsible for any costs arising from loss or injury during travel.
It is the client's responsibility to ensure that all participants in the trip have the required documentation for travel, including a valid passport and/or travel visas, and meet all the travel requirements for the destinations and dates in the travel itinerary. These requirements vary according to country and nationality, and are subject to change. Clients are required to contact the appropriate embassy or consulate in their area for detailed information, prior to travel. Explore will not be held responsible for any costs or losses incurred due to incomplete, inadequate or expired documentation.
By booking a service with us, you certify that neither you nor anyone in your party has a health condition or illness which would make traveling unsafe for you or other travelers. It is the client's responsibility to ensure that all participants in the trip are apt for travel and have all of the necessary health requirements covered (vaccinations, etc.). If in doubt, please consult your doctor before traveling.
Limitation of Liability and Indemnity
Explore does not own or operate any entity which provides the goods and services in your trip. We facilitate the trip design process through facilitating and consultancy based on our expertise, and liaise with third party partners who are fully responsible for providing the goods and services involved in your trip (concierge services, tour operators, hotel lodgings, restaurants, transportation providers, etc.). All such entities are independent contractors, and as a result, Explore is not liable for any negligent or willful act of any such third party or person.
In addition and without limitation, Explore is not responsible for any injury, financial or physical loss, death, or damage to property in connection to the provision of any goods or services whether resulting from, without limitation, acts of God or force majeure, illness, disease, acts of war, civil unrest, in surrection or revolt, animals, labor unrest including strikes, criminal or terrorist acts of any kind, overbooking or downgrading of services, food poisoning, mechanical or other failure of means of transportation or travel delays, travel advisories or warnings.
In the event of a cancellation or material alteration to the trip or tour as a result of the circumstances as described in this clause, Explore may in its sole and absolute discretion :
a) offer the client an alternative travel arrangement or a service/product of comparable standard as deemed appropriate in the circumstances ; or
b) refund a portion of the payment paid by the client, as deemed proportionate to the circumstances, in lieu of offering alternative travel arrangements
Explore may charge a reasonable fee to cover the administrative costs of providing an alternative travel arrangement or tour service.
Any claim pertaining to these Terms and Conditions, and to the limitation of liability clause, or any information related to the services provided by Explore, shall be settled in the first instance by binding arbitration in the applicable legal forum as detailed in the "Applicable Law and Forum" section of this Terms and Conditions agreement. In lieu of a personal appearance at arbitration, the arbitration may be conducted by telephone. In the first instance, arbitration is the exclusive forum for dispute resolution and except as otherwise provided by statute, each party shall bear its own costs and expenses and an equal share of the arbitrator and administrative fees.
Applicable Law and Forum
This agreement shall be governed by and construed and interpreted in agreement with the laws of France. It is agreed between Explore and the client that all lawsuits against Explore arising under, in connection with, or incidental to the trip or tour shall be filed, in the courts of France, to the exclusion of the courts of or in any other country or jurisdiction.
